Besonders hervorzuheben ist die einfache und gelernte Bedienmethodik über eine virtuelle Ordner-Struktur sowie die Möglichkeit, projektübergreifend mit verschiedenen Teams zusammenzuarbeiten. Die KI-Suche ermöglicht es uns, Bilder zu finden, die ohne jegliche Metadaten im System gespeichert wurden. Ein weiterer Vorteil ist, dass wir standortunabhängig, also auch mobil auf den Baustellen arbeiten können, da die Software in der Cloud läuft und über einen Standard-Webbrowser bedient wird.
What did you not like?
Verbesserungspotenzial sehen wir in einigen Bereichen, die aus unserer Sicht als sinnvolle Weiterentwicklungen betrachtet werden können. Eine direktere Anbindung an gängige Projektmanagement-Tools (z. B. Procore oder Bauzeitenpläne) würde die Integration in bestehende Arbeitsprozesse weiter verbessern. Die automatisierte Schlagwortvergabe durch die Künstliche Intelligenz funktioniert zwar, liefert aber hinsichtlich der Genauigkeit in unserer Themenwelt zu wenig nutzbaren Wert. Die Trefferquote ist bisher einfach zu gering, die KI- Komponente ersetzt bei uns also derzeit noch nicht das manuelle Verschlagworten. Weiterhin könnten wir uns eine einfache Funktion zur Bildoptimierung sehr gut vorstellen.

Die Medaflow DAM Software hat sich in unserem Unternehmen als äußerst hilfreiches Tool für die strukturierte Baudokumentation sowie die Erstellung und Bereitstellung von Exposés zu unseren Referenzprojekten bewährt. Durch die zentrale Verwaltung und die KI-unterstützte Verschlagwortung von Bildern und Videos lassen sich relevante Inhalte schnell auffinden, was insbesondere bei der Nachverfolgung von Baufortschritten und der Archivierung projektbezogener Informationen entscheidend ist. Die Schnittstellen zu den gängigen Office-Programmen ermöglicht uns eine nahtlose Übergabe von Dateien in Dritt-Applikationen. Die Erstellung hochwertiger Exposés mit konsistenter visueller Qualität gelingt auch grafischen Laien durch im System hinterlegte Templates. Insgesamt ermöglicht uns Medaflow eine deutliche Zeitersparnis und schafft Transparenz sowie Wiederverwendbarkeit in der Dokumentation und Präsentation unserer Projekte.

It is easy to use, both in the backend and the frontend, allowing both experienced and inexperienced users to quickly find their way around the system. The interface is clean, intuitive, and easy to navigate, and the entire process of organizing, storing, and sharing media feels streamlined and well structured.
I have a single point of contact who has been very helpful. The support has been professional, fast, and kind. There are also many additional support resources and channels that I have started to use.
What did you not like?
Nothing that I can think of at the moment. Everything has worked well so far. It’s more a matter of us starting to utilise more of the available functions and making better use of the features the system already offers.
Which problems are you solving with the product?
It is easy to upload new images or videos with the correct metadata, keywords, and GDPR rights. The portal also offers employees an easy-to-navigate interface where they can download media and images directly in the right format.
Currently, we mainly use Mediaflow for images and videos. However, we are about to integrate the system with Office, so that the whole organization can access images directly in Word documents and PowerPoint presentations. I have tested the function, and it seems very easy to use. I think it will be a great help and make our workflows even more efficient.
We have also decided to add the Video Manager application, which includes functions such as transcription and multilingual subtitles, and we will integrate it with Clipsk. We think this will make our video work more efficient, smoother, and less time-consuming in our daily workflows.

Für uns waren vor allem die unkomplizierte Einführung und die intuitive Nutzung entscheidend. Das System ließ sich sehr schnell produktiv einsetzen, ohne lange Schulungen oder komplexe Implementierungsphasen. Gleichzeitig ist die Preisstruktur nachvollziehbar, weil wir nur die Module buchen, die wir tatsächlich benötigen, und das System bei Bedarf später erweitern können.
Ein großer Mehrwert im Alltag ist die integrierte KI-Unterstützung beim Verschlagworten von Bildern. Das automatische Tagging nimmt unserem Team viel manuelle Arbeit ab und sorgt dafür, dass Medien deutlich schneller auffindbar sind. Auch das DSGVO-Modul ist für uns ein wichtiger Bestandteil geworden, weil sich damit Einwilligungen von abgebildeten Personen sauber doumentieren und Bildrechte strukturiert verwalten lassen.
Für unser Online-Team war außerdem das WordPress-Plugin ein echter Gewinn. Dadurch können Assets direkt aus dem System in unsere Website eingebunden werden, ohne Dateien manuell herunterladen und wieder hochladen zu müssen.

Am meisten überzeugt mich, dass Mediaflow bei uns als zentraler „Single Source of Truth“ funktioniert: Freigegebene Assets sind schnell auffindbar und alle Teams arbeiten verlässlich mit der aktuellen Version. Das interne Teilen und Freigeben ist sehr unkompliziert z. B. über Ordner, Collections oder Links – wodurch deutlich weniger Abstimmungsschleifen per E‑Mail oder Chat entstehen. Ein echtes Plus ist auch die KI‑gestützte Suche: Gerade bei großen Bildbeständen findet man Motive und Inhalte deutlich schneller, auch wenn man nicht mehr genau weiß, wie die Datei heißt oder wo sie abgelegt wurde. Und weil wir ein großes Unternehmen sind, ist die Rechte- und Zugriffssteuerung für uns super wichtig: Es ist klar geregelt, wer Inhalte sehen und herunterladen darf. Auch die Einarbeitung ging insgesamt einfach und zügig.

Zuvor war die Verteilung deutlich umständlicher und oft mit Rückfragen oder Versions-Themen verbunden. Heute haben wir eine zentrale Plattform, in der Inhalte schnell auffindbar, sauber freigegeben und über klare Rechte verfügbar sind, dadurch läuft die interne Bereitstellung effizienter und konsistenter.

Ein Upload-Feature für Externe wäre hilfreich. Beispielhafter Anwendungsfall Stadtmarketing: Kunden werden aufgefordert, die schönsten Fotos vom Weihnachtsmarkt hochzuladen ("Schick uns Dein Fotos und gewinne ..."). Derzeit ist nach Freigabe eines Ordners der Ordnerinhalt für andere Dritte sichtbar (also jeder sieht auch die Foto der anderen); besser wäre, man sieht die Fotos der bereits hochgeladenen Motive nicht. Und: KI-Filter bei Upload wäre hilfreich, damit keine unerwünschten/unerlaubten Inhalte (Hass, Porno etc.) hochgeladen werden können, also eine Art KI-Gate-Keeper für den Upload.

Zusammenarbeit verschiedener EInheiten - hier zwischen Stadtverwaltung, Stadtmarketing, Wirtschaftförderung und Tourist-Info - wird zentriert und optimiert. Prozesse vereinfachen sich, werden schlanker. Die Qualität der Inhalte wird optimiert und verbessert. Neben interner Prozessoptimierung auch die Öffnung nach außen möglich: Das Portal wird Bürgern, Gruppen und Vereinen zugänglich und somit zu einer Art "öffentlichem Fotoalbum Deiner Stadt". Gutes interaktives Tool zum Beispiel für einen Stadtmarken-Prozess (place branding).

Mediaflow bietet alles was wir gesucht haben und noch viel mehr! Es ist benutzerfreundlich, intuitiv zu bedienen und hat eine übersichtliche Struktur. Dank den Anpassungsmöglichkeiten und der gegliederten Benutzerverwaltung ist es für Nutzende mit unterschiedlichen technischen Kenntnissen geeignet. Das Organisieren vieler Mediendateien gelingt dank guter Suchfunktion mit Metadaten und Keywords sowie der KI-Bilderkennung. Bildmaterial kann mit externen Stellen via Webshares unkompliziert geteilt werden und es ist auch möglich Upload-Links zu erstellen. Es ist skalierbar und bietet viele Erweiterungsmöglichkeiten durch zusätzliche Module. Die Schulung durch das Team und der Support sind top.
What did you not like?
Besonders bei Ordner mit vielen Daten dauert die Anzeige der Assets ziemlich lange. Das hat sich jedoch schon verbessert.

Die zentrale Organisation unseres Foto- und Videoarchivs schafft Effizienz. Dank der Webshare-Funktion können wir das Bildmaterial auch unkompliziert mit externen Partner teilen und lokale Bildschaffende können ihr Material via Upload-Link direkt in unser Bildarchiv hochladen. Die Daten zu unserem Corporate Design sind ebenfalls auf Mediaflow und können so intern als auch extern zugänglich gemacht werden.

Besonders gut gefällt unserem Team, dass das System durch die Module so viele Funktionen abbilden kann, aber trotzdem so einfach zu bedienen ist. Darum konnten wir auch innerhalb weniger Tage nach der Bestellung produktiv mit Mediaflow arbeiten. Das skalierbare Pricing ist ebenfalls sehr positiv zu bewerten.
What did you not like?
Momentan haben wir eingentlich keine Negativpunkte zu nennen. Perspektivisch würden wir uns neben den vorhandenen Modulen auch noch PIM-Funktionalitäten wünschen.

Wir ermöglichen dem ganzen Team unkompliziert auf die jeweils aktuellen Unterlagen zuzugreifen. Die Umrechnung von Dateien für Social Media ist auch eine wichtige Funktion, weil wir jetzt weniger teure Bildbearbeitungs-Lizenzen benötigen. Das Videostreaming ist super, weil es DSGVO-konform ist und alle Daten in einer Plattform liegen.

Uns haben drei Dinge überzeugt, die Software einzusetzen: die einfache Bedienung, die
schnelle Inbetriebnahme und die überschaubare Kostenstruktur. Wir zahlen nur für die
Funktionen, die wir wirklich benötigen, haben aber die Freiheit in Zukunft weitere
Module hinzuzufügen. Das Basis-System deckt bereits viele Funktionen ab, die wir
früher mit verschiedenen Programmen abbilden mussten. Die technische
Unterstützung bei der Datenmigration aus einer bestehenden Ordner-Struktur hat und
sehr geholfen, insbesondere dem Service-Team, die mittlerweile täglich auf das Portal
zugreifen.
What did you not like?
Momentan kommen wir mit dem Funktionsumfang gut zurecht, haben wir keine
eigenen Anforderungen, die nicht erfüllt werden. Perspektivisch wünschen wir uns eine

It is a very intuitive system that you can quickly get into. The tool also contains many smart functions that streamline image and film management. If additional functions or improvements are needed, customer support is responsive and quick to come up with suggestions for solutions.

Not much really. Sometimes I discover small features that I'm missing, but they're usually fixed quickly.

I save an incredible amount of time by not having to search around for images and films on a local server. Through the search function in Mediaflow, I can easily find relevant material. It is also very easy to distribute films and images to colleagues and partners, which saves a lot of time.

I like the way folders can be set up with metadata that all images in the folder get. I like the automatic alt text and AI search, and look forward to the next generation of search. Setting up your own export templates is easy and very useful.
What did you not like?
The AI-search is a good idea, but the production version is not the best. I know there is a new and smarter version in the pipelin worthwaiting for.The backend is unusable on iphone.

“Mediaflow listens to customer needs and stays at the forefront by continuously adapting its features to current legislation and customer requirements. Fast support and a personal customer relationship.
What did you not like?
Possibly not quite the same close customer–supplier relationship as Mediaflow has grown and gained more customers. On the other hand, the development of the platform and its features is now moving faster than before. For me, it’s not a problem that Mediaflow is no longer a small, personal provider, as long as the company continues to develop and listen to its customers.

It’s convenient to have everything collected and integrated in one place from a single provider: a media bank for images and video, live streaming, video, a design generator, and more.
